Less searching. More clarity.
From loose ends to clear answers.
For technicians, deliveries, home care, construction and other teams working to a schedule.
‘Who was driving that vehicle?’
Find the recorded trip and ask the driver to confirm. Keep the fine and its deadline in one place.
‘Is the mileage statement ready?’
A monthly statement per driver, separating personal and company vehicles, with the allowance and a CSV for accounting.
‘Where is that document?’
The right papers with the right vehicle. Receipts with photos and reminders before documents expire.
Do your staff choose their own journeys, such as sales representatives? Consider Teams: the same paperwork tools, without trip recording.
Simple for the driver
Start the workday. Fleet records the trips.
No extra box in the vehicle. Your drivers use the regular TrapSpotter app, with their own account.
- 1
Start and choose a vehicle
The usual van, a pool vehicle or a personal car. Drivers can change vehicles during the workday too.
- 2
Drive as usual
The app records trips during the active workday. The driver can mark a trip as private.
- 3
Stop and head home
Recording stops at Stop workday, at the end of scheduled work hours or after the configured maximum duration.
Work features require a compatible, up-to-date app and the necessary phone permissions. Set work hours before the first workday.
Fines · from letter to follow-up
A plate. A point in time. A driver to confirm.
When a fine arrives, find the potential driver in the workdays and trips your business already records.
- 1
Find the trip
The plate, date and time show the matching trip and driver; otherwise, the relevant workday.
- 2
Ask in the app
The driver answers yes or no. The lock-screen notification contains no details of the fine.
- 3
Keep the deadline visible
Statuses, a countdown and an email 3 days before the deadline. Export the list as CSV.
Check the result: Fleet is an aid. Your company submits the driver identification using the letter or official portal. Rules vary by country; Germany supports lookup only.
An easier month-end
The mileage collected. The allowance calculated.
Give your accountant a structured overview instead of separate messages and spreadsheets from every driver.
- 1
Personal cars kept separate
Business kilometres in personal cars and company vehicles are listed separately. Private trips do not count towards the allowance.
- 2
Your mileage rate
Use or change the configured rate. Fleet calculates the allowance from business kilometres driven in a personal car.
- 3
Ready to export
Per driver: kilometres, workdays, hours and allowance. Per client: visits, distance and time on site.
CSV export for accounting or payroll administration. Check the data and applicable rate. Fleet is not a tax-compliant mileage log with odometer readings.
The work log
From today’s journey to the week’s overview.
See who drove which vehicle, the distance covered and how long each driver was on duty.
- 1
Find the right trip
Filter by driver, period, client and business or private. See the start, destination and route for business trips.
- 2
Hours from Start to Stop
Daily, weekly and monthly totals per driver. Export them as a basis for your administration.
- 3
Pool vehicles included
The vehicle belongs to the workday and trip. A manager can correct the vehicle for an individual trip.
A workday is the recorded period from Start to Stop. Check the export before using it in payroll.
From the driver to accounting
A photo of the receipt. A clear decision.
Fuel, parking, tolls or another expense: the driver submits the details and photo directly from the app.
- 1
Submit on the go
Category, amount, VAT, date and photo. Fuel receipts can also include litres.
- 2
Review in the dashboard
Open the photo, approve or reject. A decision can be reversed.
- 3
Prepare for accounting
See what is waiting and what has been decided. Download the list as CSV for further processing.
The driver enters the amounts; Fleet does not automatically read receipt text.
Keep expiry dates in view
A file for every vehicle. The papers in every driver’s app.
Vehicles, assigned drivers and documents together: registration, insurance, inspection, green card and lease.
- 1
See what needs attention
Expired documents and approaching expiry dates are visible in the dashboard.
- 2
Reminders before expiry
Owners and managers receive an email 30 and 7 days before expiry, according to the reminder preferences.
- 3
The right scan in the app
Drivers see their assigned vehicle’s papers, and those of the chosen pool vehicle during a workday.
A scan is a copy. Drivers still need the original documents required by law.
Addresses that travel with the team
Your clients in the app. Your visits in the overview.
One shared address book for clients, delivery addresses and worksites. Add them individually or import them together by CSV.
- 1
Find the right destination
Drivers find company addresses in the app’s search, with the nearest first.
- 2
Bring practical details along
Add a category and a note, such as which entrance to use or where to collect a visitor badge.
- 3
Understand work per client
Fleet links arrivals to clients for visits, kilometres and time on site in the monthly statement.
Company addresses are available in the phone app; the client list is not yet available on CarPlay or Android Auto.
Clear boundaries for everyone
Work stays work. Private stays private.
Agree when and why you record before you start. Fleet gives drivers and your business visible controls.
- 1
The driver starts the workday
Only between Start and Stop, within configured work hours. Automatic stopping covers a forgotten workday.
- 2
Private trips lose their route
Marking a trip private permanently removes its addresses, route and client. Time and distance remain visible.
- 3
Access follows the role
Owners and managers see company data. Drivers see their own work; personal messages and private documents are not shared.
Marking a trip private permanently removes its addresses, route and client. Time and distance remain visible.
Business terms, a processing agreement and policy, driver-letter and DPIA templates are available. Your company remains responsible for appropriate setup and informing staff. Templates are not legal advice.
Only when you need it
Who is on the road? See during the workday.
Live shows on-duty drivers on the map. A practical way to keep an overview during work.
- 1
Off by default
Your business decides whether live locations are needed and deliberately enables the feature.
- 2
Only during the workday
Positions update roughly every minute. Off-duty drivers do not appear on the live map.
- 3
Switch off. Positions removed.
Disabling Live removes the live positions. The dashboard does not display speed.
This is a static demo screen. Use location data only for agreed work purposes, with appropriate information for staff.
Beyond the paperwork
Something for your team on the road, too.
Every active driver seat includes TrapSpotter Premium. The company pays; the driver keeps their account.
- 1
Premium included
No ads, all police checks and routes around them where permitted. The owner can hide police checks during the Fleet workday.
- 2
The familiar driving app
Navigation, speed cameras, average-speed checks, hazards and traffic are already free, as are CarPlay and Android Auto.
- 3
Adapted to the country
France uses danger zones and offers no routes around checks. In Germany, Fleet disables speed-camera and check warnings during the workday.
TrapSpotter PremiumAn existing personal Premium subscription does not stop automatically; the driver manages it. Alerts never replace the rules of the road.
